🚀Getting Started

How do I generate my first change order?+

Click Generate in the top nav. Paste your original scope, the client's request, your rate, and the original delivery date. Choose a tone. ScopeApproval builds a client-ready approval packet.

What's the onboarding wizard?+

When you first sign up, we ask 3 quick questions about your work, scope creep frequency, and team size. Based on your answers, we recommend the right plan for you. You can skip it and use the Free plan if you want to try first.

Do I need to set up branding first?+

Not required, but recommended for paid plans. Go to Settings → enter your display name and pick a brand color. These appear on every PDF you generate. Takes 30 seconds.

✍️Generating Orders

What if I bill flat fee instead of hourly?+

Toggle 'Flat Fee' in the generate form. Enter the total additional cost. Skip the hours field. The PDF will show 'flat fee' instead of a per-hour breakdown.

What's the difference between the 3 tones?+

Friendly is warm and relationship-first. Direct is businesslike and factual. Formal is contract-style for large clients or paper trails. Pick what fits the client relationship.

Can I edit the generated text?+

Click Regenerate to get a new version. Or copy to clipboard and edit in your own email/word processor. We're working on inline editing — coming soon.

What's the rate limit?+

10 generations per hour per IP address. If you hit it, wait an hour. Paid plans have higher limits.

🔗Approval URLs

How does the approval URL work?+

When you mark a change order as 'sent,' we mint a unique URL like scopeapproval.com/co/abc123xyz. Share it with your client (email, Slack, text — anywhere). They open it in their browser, read the document, and click 'I approve.' Their name, email, IP, and timestamp are recorded. You get an email notification.

Does my client need an account?+

No. They just click the link and approve. No signup, no app, no friction.

What if my client doesn't approve online?+

You can still mark the order as 'approved' manually in your dashboard. But the timestamped audit trail is much stronger if they click the button themselves.

Is the approval URL legally binding?+

A name, email, timestamp, IP address, and approval URL give you a clear business record to keep with the project. It is not legal advice, but it is much stronger than a vague message buried in a thread.

Can I send the link more than once?+

Yes — the URL is permanent. Re-share or remind your client as needed.

💳Billing & Plans

How do I upgrade or downgrade?+

Go to Dashboard → Billing → Manage Billing. You'll be taken to Stripe's customer portal to change your plan.

Can I cancel anytime?+

Yes. Cancel from the Billing page. Your access stays active until the end of your billing period.

Is there a refund?+

30-day money-back guarantee on any paid plan. Email hello@scopeapproval.com within 30 days for a full refund, no questions asked.

What happens to my data if I cancel?+

Your history stays accessible for 12 months. After that, downgraded to Free (1 order/month, no history).

🎨Branding

How do I add my logo?+

Settings → Logo URL. Currently URL-based (upload coming soon). Use a hosted PNG or JPG. Logo upload is a Pro feature ($47/mo).

Why does Solo get name + color but not logo?+

Solo is for solo freelancers who want a clean minimal look — name in your brand color, no busy logo. Pro adds the logo for studios that want their full visual identity on every document.

Can I have different branding per client?+

Coming soon to Agency. For now, all your PDFs share one brand identity.

👥Team Management

How do I invite team members?+

Pro and Agency plans only. Dashboard → Team → Invite. Enter their email. They'll get a magic link to join your account.

What can team members do?+

Members can generate change orders, manage clients, and view shared history. Owners can manage billing and team membership.

How does shared history work?+

Everyone on your team sees the same change order history. Each order is tagged with who created it.
